3. Data processed

3.1. Use of cookies when visiting the website

Like most websites, we store small pieces of text data in your browser when you visit - called cookies. We do this to identify each visitor and their settings while they are using our site. We exclusively use technically necessary session cookies that are required for the basic functionality of our site. We do not share this data with 3rd parties. We process this data in order to be able to technically realize the functionality of our site. Legally, this is covered by Art. 6 Abs. 1 lit. F of the DSGVO.

Removal: We only use session cookies, which your browser will automatically remove when you close it

3.2. Data processing when visiting the website

We store some general data about you when you visit our website - whether you log in or not - in our server logfiles. We use this data to ensure its availability, diagnose errors, prevent abuse and to create aggregated, non-personal statistics for capacity planning. We do not share log data with other parties. Saved IP addresses will be anonymized within 6 months. Legally, this is covered by Art. 6 Abs. 1 lit. F of the DSGVO.s. 1 lit. F der DSGVO.

Purpose of the processing: Technical monitoring
Data categories: IP addresses, URLs, device information
Recipients: Not shared
Removal: Within 6 months anonymization by truncating the IP address

3.3. Data processing when logging in

When you log in to our website with your user name and password, additional personal data is transmitted from the university's directory service and stored in the repository's database:

  • Account ID of your account at the university's computing centre
  • Your name as stored at the university's computing centre
  • Your university email address as stored at the university's computing centre

We save this data in our system while you have publications in our repository. We process this data to enable you to publish research data, check your permissions and only if you actively log in to the website. Legally, this is covered by Art. 6 Abs. 1 lit. A of the DSGVO.

Affected persons: All visitors logging in to https://opendata.uni-kiel.de
Purpose of the processing: Required to enable you to publish research data
Data categories: Account IDs, names, email addresses
Recipients: Not shared
Removal: Within 6 months after removal of your last publication from the repository

3.4. Data processing when publishing research data

When you publish research data via our service, you upload the actual data and additionally provide its metadata. According to our terms of service, the research data must not contain personal data (according to DSGVO). The accompanying metadata on the other hand does contain personal information about the contributing researchers. According to our terms of service, the user actively entering this information in the repository has the mandate of the other affected researchers for the publication of this personal information. We save this information indefinitely and make it available to the general public:

  • Names of the researchers
  • Institute memberships of the researchers
  • External IDs of the researchers (ORCID, FIS, etc.)

We store this information in our system as long the affected persons consent to this. We publish this data on their behalf and share it with the general public. We process their data in this way, in order to fulfill their request for publication. Legally, this is covered by Art. 6 Abs. 1 lit. A of the DSGVO.

Affected persons: All researchers who are mentioned as authors by users of our system
Purpose of the processing: To publish this data on the behalf of the researchers
Data categories: Names, institute membership, IDs
Recipients: Public data shared with everyone
Removal: Because the user requested us to permanently publish this data on behalf of the researchers, we only delete it after the explicit request of the affected person

3.5. Data processing when using 3rd party functionality

Some functions of our website use 3rd party services. When you use these functions, data is transmitted to those parties. We make sure that all 3rd party content on our website has to be explicitly activated by the user before any data is transmitted (click-to-consent).

3.5.1. OpenStreetMap

Some repository pages contain geographical maps. The map data is sourced from OpenStreetMap. When this happens, your browser transmits the typical categories of data to OpenStreetMap that are involved when you visit any other webpage (IP addresses, URLs, device information) as well as the geo-location to be displayed. Legally, this is covered by Art. 6 Abs. 1 lit. A of the DSGVO.

Purpose of the processing: To provide the requested map data
Data categories: Geo-locations, IP addresses, URLs, device information
Recipients: OpenStreetMap
Removal: We do not store special data in our repository about these 3rd party interactions

3.5.2. ORCID

When you create new metadata, you can search the ORCID ID of an author by their name. When you use this function, the name is transmitted to ORCID. Legally, this is covered by Art. 6 Abs. 1 lit. A of the DSGVO.

Affected persons: All researchers whose ORCID is being searched for by name
Purpose of the processing: To enable the user to find out a researcher's ORCID
Data categories: Names, IP addresses, URLs, device information
Recipients: ORCID
Removal: We do not store special data in our repository about these 3rd party interactions

3.5.3. North Rhine-Westphalian Library Service Centre

When you create new metadata, you can search for the GND ID of an author, keyword or place. When you use this function, those search terms are transmitted to the North Rhine-Westphalian Library Service Centre. In addition, the typical categories of data that are involved when you visit a webpage (IP addresses, URLs, device information) are also transmitted.

Affected persons: All researchers whose name is used as a search term, as well as the searching users themselves
Purpose of the processing: To enable the user to discover GND IDs
Data categories: Names, keywords, places, IP addresses, URLs, device information
Recipients: North Rhine-Westphalian Library Service Centre
Removal: We do not store special data in our repository about these 3rd party interactions

3.5.4. ROR

When you create new metadata, you can search the various IDs of an author by their name. When you use this function, the name is transmitted to ROR. Legally, this is covered by Art. 6 Abs. 1 lit. A of the DSGVO.

Affected persons: All researchers whose IDs are being searched for by name
Purpose of the processing: To enable the user to find out a researcher's IDs
Data categories: Names, IP addresses, URLs, device information
Recipients: ROR
Removal: We do not store special data in our repository about these 3rd party interactions

4. Updates to this directory

When we make changes to our service or the legal environment changes, we will update this directory. Whenever you visit our website, the latest version of this document applies.
